Online Reporting and Remittance

Overview

Employer XG is a web-based reporting and remittance tool for employers. It provides a convenient and secure method for filing reports and sending contributions to one of our funds.

  • It's quick! Just update the pre-populated form we send you, upload the new file, and specify when and how you want to remit funds to us.

  • It's easy! No calculations - just enter the work hours. The report form automatically calculates the contribution amounts by fund.

  • It's paperless! Upload your reports online instead of mailing or faxing. Transfer funds from your bank to ours with Electronic Funds Transfer.

Employers must be registered before they can take advantage of the time-saving features of Employer XG. Registration takes only a few minutes, but a special code is required to verify your employer status. Contact Employer Labor Services if you do not have an invitation code.

Getting Started

If you received an invitation code from Employer Labor Services, here's what to do next.

  1. Go to the Employer XG website: https://employer.gobasys.com/CTWW/Login/Login.aspx
  2. Enter the following information:
    1. Employer's Federal tax ID
    2. First and last name of the primary contact (You'll be able to update your company profile and add approved contacts after you're signed on.)
  3. Enter the invitation code sent by Northwest Carpenters Trusts.
  4. Create a username and password.
  5. Agree to the terms and conditions.

Creating Reports

  1. Each month, Northwest Carpenters Trusts will e-mail your Reporting Form as a Microsoft Excel template. You will need this template to upload your report using Employer XG.
  2. When you receive your template via e-mail, first do a "Save As" to save the template to a folder you are familiar with on your computer. This step is very important. It will make it easier to find the reformatted version of the file required for upload to the Employer XG website.
  3. Enter the required data for each employee. You do not need to be logged on to Employer XG to complete this step.
    • The form is pre-populated with the most current list of reporting employees, along with applicable funds, rates and formulas embedded. Just enter the hours and let the form do the calculations.
    • Add any employees not listed.
    • If employees are exempt from funds required by your current contract, use the column labeled Hours (If Different From Hours Worked).

Uploading Reports

  1. When you are ready to submit your report, click Create Upload File. This will convert the Excel template to a .csv file that meets Employer XG website requirements. The reformatted file will be automatically saved in the same directory as the original template document. The name of the new file should end with "UploadFile"
  2. Log on to the Employer XG website.
  3. On the Homepage, click Have a remittance file to upload? Then select the file you just saved (ending with "UploadFile").
  4. A message box will appear to indicate how long the upload process is expected to take. While the file is uploading, you will see this message: Processing File, please wait!
  5. If your report contains errors or requires revision for any reason, you must edit the Excel template, re-save it, and re-upload it to the website.
  6. When the file is successfully uploaded, you will see the report details listed in the File Upload Summary window.

Remitting Payment

  1. When you are ready to submit your report, scroll to the bottom of the page and select Pay.
  2. The Remittance Grand Total window provides a breakdown of the remittances due for each fund.
  3. Choose your payment method.
    1. Electronic Funds Transfer (EFT). To remit payment via Automated Clearing House, click here for detailed instructions.
    2. Check. To remit payment by check, follow the instructions below.
  4. Using the calendar, select the present day (i.e., today) to accept remittance and process payment. This date does not mean the report will be posted on that day or that funds will be processed by the bank on that day. It simply directs the website to send your suspended report to the Trust office.
  5. If you are paying by check, apply payments to the funds by selecting each fund with a remittance due, one at a time. Then indicate how much you are remitting for that fund, and the check number. You must pay the whole amount due for that fund in order to submit the report.
  6. Mail checks and a copy of the receipt to our U.S. Bank lockbox at the address below. Please make checks payable to Northwest Carpenters Trusts. Contributions are considered received on the date funds are deposited at U.S. Bank. The Trust will receive payment confirmation via overnight report from U.S. Bank.
